Viewing sent messages:

 

Sent messages can be reviewed via the ‘Sent Items’ screen. The ‘Sent Items’ screen provides access to the original recipient list, the paper distribution list, the original message text and the dispatch status. 

 

  • Click on the ‘Sent items’ button in the tool bar on the left hand side of the screen. This screen will appear: 




  • Find the message that you want to view, using the scroll bar on the right hand side of the screen if necessary.
  • Click on the message to highlight it.
  • Click on the ‘View message’ button in the top toolbar to see the sent message.



  • The message shows the location of any files attached to the message. 
  • Click on the ‘Click here to show recipient list…’ to see the complete list of recipients of the message. This list shows all the chosen recipients. To see those recipients that could not be sent the message by Schoolcomms because they were not linked, click on ‘Paper list’, see below.
  • Click Print to print the message
  • Click Close to return to the list of sent items.
  • The ‘Dispatch status’ column on the screen confirms whether the message has been satisfactorily dispatched from the Schoolcomms data centre. See below for further information on dispatch status.
  • Scheduled messages show the planned time of dispatch under the ‘Dispatch status’ column.
  • To recall a scheduled message, highlight it and click ‘Cancel Scheduled’. The message will be cancelled and not sent.
  • Click 'Paper list' to view the Paper distribution list dialog box. This is available for one month after the message was sent.  Click here for help on the Paper Distribution List.

Checking delivery/dispatch status

 

  • Select the message on the sent items list.
  • Click on the button on the top bar, dispatch status for email, Delivery status for SMS messages.
  • For an SMS message the screen displays the SMS numbers that have been sent the message, whether the message has been delivered to the mobile phone, is pending (if the recipient has their phone currently switched off) or failed (invalid number).



  • For an Email message the screen displays the email addresses that have been sent the message and whether the message has been dispatched to the email address successfully.



  • NB. Messages will only be delivered once to any one number or email address to avoid duplicates.

     

    Checking space usage:

     

    Schoolcomms has 50 Mb of space on its server allocated to each school for storing sent items.

     

    • Click on Space usage on the top toolbar

       
    • The screen shows your current space usage.
    • Click Close to return to the Sent items screen.

     

    Archiving messages:

     

    • Select the message(s) from the list that you wish to archive by highlighting them. Use the Shift or Control keys to select more than one message at a time.
    • Click on 'Archive messages'. You will be asked to confirm that you wish to archive the message. When a message has been archived, you will no longer be able to view the images included in the message and you will not be able to see the message on the sent items screen.
    • Click 'Yes' to proceed



    • Type in the address of the location where you wish to store the messages on your server, or click on the 'Browse' button to choose the location.
    • Click 'Cancel' to abandon the action.
    • Click 'OK' to archive the message. The message will be saved and the screen will open at the chosen location. The saved message shows the text of the message and the full recipient list.
    • Click the cross in the top right corner to return to the archive screen.
    • Click 'OK' to return to the Sent items screen
