This part of Schoolcomms enables multi-user licence holders to create edit and manage
the Schoolcomms users, setting credentials, access levels and each user's 'reply
to' address.
Please take care managing the users of Schoolcomms and keeping the credentials private.
Remember that the data in Schoolcomms, like that in SIMS, is sensitive information
that should be protected by the school under the Data Protection Act.
Manage users
- Click on the Management bar on the left hand toolbar
- Click on 'Manage Users'

You will see a list of all the users currently available for your school
Adding new users
- Click on the Add user button on the top row
- Type in the chosen username. It must have at least 8 characters with no spaces.
It is not case sensitive.
- Select the role of the user.
- The table below shows the access levels of each type of user:

School Multi–User Administrator
|
All school functionality.
|

School Administrator
|
All school functionality except Manage users.
|
|
School Power User
|
All School Admin functionality with the EXCEPTION of:
- Import school members from SIMS / CSV file
- Import contacts from SIMS
- Create security letters
- Delete leavers
- Review / modify security letter templates / page settings

School User
|
School users can perform the following tasks:
- Compose and send email and SMS messages
- Review and archive draft messages
- Make unexplained absence contact
- View absence contact history

- Choose the user level as appropriate
- Enter the other details including an email
address. This will be the address that the user will use when requesting a new password
for themselves using the 'Forgotten your password?' feature.
- Choose whether this user wishes to receive email responses directly to their own
email inbox by ticking the checkbox.
- If you do not tick the box then responses will go to the centrally set email inbox
for the school.
- Click OK when you are ready.
- An auto generated Memorable data will be displayed. Make a note of it and inform the user.
- The password will be emailed directly to the new user.
- The first time the new user logs in, they will be required to choose a new password of their own.
Reset credentials
- Select the username that needs to be reset
- To unlock a user click on the Unlock button. A username will be locked if someone has attempted to log in more than three times incorrectly.
- Click on Reset Memorable data to reset the memorable data for that user.
- Either type in the chosen memorable data or click on Auto generate for a
suggested credential.
- Remember that the memorable data must contain at least one lower case, one upper case and one numeric character and
that is case sensitive.
- Click OK
- In the same way, click on Reset Password to reset the password for the user.
- Enter the details or choose auto generate
- Click OK when you are happy with your choice.
Disable/Enable a user
- You may wish to disable a user altogether if a member of staff has left and you no longer wish to use that username.
- Click on Disable user.
- To enable a user, select the username and click on Enable user.
