How to manage school groups

All groups in SIMS including teaching groups and user defined groups will be imported from SIMS with the Member Import.  Any changes to these groups should be made in SIMS and updated by re-running the Member Import.

 

Opening the ‘Manage school groups’ screen:

 

  • Click the ‘School members and groups’ button in the tool bar to the left hand side of the screen.
  • Click the ‘Manage school groups' button. This tool bar will appear at the top of the screen:



Adding a school group:

 

  • Click the 'Add group' button. This box will appear:


  • Type in the name of your group.
  • If you click ‘Cancel’ your group will not be saved.
  • Click ‘OK’ to create the group. This message box will appear:



  • If you click ‘No’ your group will be saved and you will be able to add members at another time.
  • Click ‘Yes’ if you want to add members to the group. This screen will appear:



  • Highlight the school members you want to add to this group.

    Shortcut!

    You can add multiple school members to a group at one time. To select a long list of school members: Click on the first school member. Hold down the shift key on your keyboard. Click on the last school member. The whole list will be highlighted in dark blue

     

    To select multiple school members that are spread out in the list, hold down the control button on your keyboard and left click on each required school member. Each school member that you select will be highlighted in dark blue

     

  • Click the ‘To’ button when all required school members are highlighted. Their names will appear in the ‘School group members’ box on the right hand side of the screen.



  • If any school members were added by mistake, highlight their name in the ‘School group members’ box and click ‘Remove from group’.
  • Click ‘Save group’ to save your group with the chosen members.
  • If you click ‘Cancel’ any members that you had added to the group will not be saved.
  • You will be returned to the main ‘Manage school groups’ screen.
  • Your new group will be added to the list.

 

Searching for a school group:

 

  • Open the ‘Manage school groups’ screen.
  • Click inside the ‘Look for’ box. The cursor will flash.
  • Type in the name of the school group you are looking for. NB: You can type in just a few letters from the group name e.g. type in 10 and you will see all groups with 10 in the name.
  • Click ‘Find now’.
  • The search results will be listed on the screen.



  • Click ‘Clear’ to clear the ‘Look for’ box. All school groups will be shown on the screen again.

 

Editing a school group name:

 

  • Open the ‘Manage school groups’ screen.
  • Find the required group using the ‘Manage school groups’ search tool.
  • Click on the group in the search results list.
  • The group will become highlighted in dark blue.
  • Click the ‘Edit group name’ button in the top toolbar. This box will appear:



  • Type in the changes to the group name.
  • Click ‘OK’ to save the changes you have made to the group name.
  • If you click ‘Cancel’ any changes you have made to the group name will not be saved.
  • You will be returned to the main ‘Manage school groups’ screen.

 

Adding members to an existing group:

 

NB: You can only change the members of an MIS generated group by altering the members in your MIS and performing an import. This is to ensure synchronisation with your MIS database.

  • Open the ‘Manage school groups’ screen.
  • Find the required group using the ‘Manage school groups’ search tool (see above).
  • Click on the group in the search results list.
  • The group will become highlighted in dark blue.
  • Click the ‘Select members’ button in the top toolbar. This screen will appear:



  • The group name will be displayed at the top left of this screen.
  • Type the name of the school member you want to add to the group into the ‘Look for’ box at the top of the screen.
  • Click ‘Find now’.
  • The matching names will be displayed in the ‘Select groups and members’ box:
  • Click on the school member’s name in the ‘Select groups and members’ box. It will become highlighted in blue.
  • Click the ‘Add to group’ button.
  • The school member will be added to the group. 
  • Click ‘OK’ to save the changes to the group.
  • If you click ‘Cancel’, any changes that you have made will be discarded.
  • You will be returned to the main ‘Manage school groups’ page.

    Shortcut!

    If you need to add or remove several school members use the shift or control keys (as explained above) so you can highlight them all at once. Then you only need to press the ‘Add to group’ or ‘Remove from group’ button once.


Removing members from an existing group:

 

NB: You can only change the members of an MIS generated group by altering the members in your MIS and performing an import. This is to ensure synchronisation with your MIS database.

  • Open the ‘Manage school groups’ screen.
  •  Find the required group using the ‘Manage school groups’ search tool.
  • Click on the group in the search results list.
  • The group will become highlighted in dark blue.
  • Click the ‘Select members’ button in the top toolbar.
  • The group name will be displayed at the top left of the screen.
  • Find the school member you want to remove in the ‘School group members’ box at the right hand side of the screen. 
  • Click on the school member’s name. It will become highlighted in dark blue.
  • Click the ‘Remove from group’ button.
  • The school member will be removed from the ‘School group members’ list.
  • Click ‘OK’ to save the changes to the group.
  • If you click ‘Cancel’, any changes that you have made will be discarded.
  • You will be returned to the main ‘Manage school groups’ page.

    Shortcut!

    You can open a group to add or remove members, by double clicking on the group name in the main ‘Manage school groups’ page.


Deleting a group:

 

NB: You can only delete an MIS generated group by removing it from your MIS and performing an import. This is to ensure synchronisation with your MIS database.

  • Open the ‘Manage school groups’ screen.
  • Find the required group using the ‘Manage school groups’ search tool.
  • Click on the group in the search results list. The group will become highlighted in dark blue.
  • Check that the ‘Member count’ for your selected group is zero.
  • You must remove all group members associated with the group before you can delete it (see Removing members from an existing group).
  • Click on the ‘Delete group’ button in the top toolbar. This message box will appear:




  • Click ‘Yes’ if you want to delete the named group.
  • Click ‘No’ if you do not want to delete the named group.
  • You will be returned to the main ‘Manage school groups’ page.
