The students, staff and support staff of the School
Prime parent
A message may be of interest to all parents e.g. a newsletter, or may only be of
interest to the first point of contact e.g. late bus arrival. We cater for two
types of recipient, prime and non prime. When sending a message you can choose
to send it to only the prime parents or to all parents. When parents register
for themselves through the web site they choose whether to be prime or not.
Family contacts imported directly from SIMS will all be designated prime as
they are the priority 1 contact in SIMS.
Non prime parent
A parent who has registered through the web site and chosen not to be prime, or
a parent added by the school and entered as not prime. For these people to
receive messages the prime parents only box on the message recipient screen
must be unticked.
Link, Linked people
We use the term ‘link’ to denote someone who has their contact details in the
Schoolcomms database to receive messages either for themselves or relating to
their child. Links can be created in three ways; web registration by the member
or parent, contact details added by the school using the Linked people screen,
and contact details of members and Priority 1 contacts in SIMS imported
directly.
Registered
A person who is linked to the school in Schoolcomms.
Web registered
A person who has registered, or linked, for themselves through the web site
using the security details.
Contacts Import
The import of the contact details for school members who are not already linked
and of Priority 1 contacts of students who do not already have a prime parent
linked.
Contact details
The email address and mobile number to be used for messaging.
Member Import
The import of the school member names, roles and registration groups, and for
SIMS users all the group compositions from SIMS.
Priority 1
As designated in a SIMS database
Template
A master version of a message which may contain wild cards. When the messages
are dispatched, the wild cards will be replaced with the individuals’ own
details.
Wild card
A notation which will be personalised when sent. For example, $Forename$ would
be replaced by the student’s own forename in each message.
Security Letter
The introductory letter produced by Schoolcomms to invite parents to register
through the web site. Each letter contains the unique security number and
password for that student and their family.
